What is Clinicpass?

Clinicpass is a bridge between clinics and pharmaceutical, device & service representatives that are looking to schedule educational events, lunch-n-learns, samples, etc. Clinicpass provides benefits for representatives & clinics. We are working to make this process as streamlined as possible, all at no cost to the clinics.

Clinicpass modernizes the process of scheduling and managing reps in clinics.

Customizable calendars

Efficiency at its best! Easy, customizable web-based access for reps to book appointments based on a clinic's availability and preferences. Clinicpass' scheduling platform saves time for the clinic and rep & increases productivity and communication.

Interactive scheduling

Did you know the average clinic spends 20 hours a month managing rep appointments? This aspect allows for real-time access to a clinic's scheduling calendar, which shortens the time-consuming scheduling hassles for the clinic schedulers and reps. Additionally, it allows for a more consistent workflow, reduces no-shows, and provides space for open communication in booking appointments and appointment follow-up metrics.

Appointment transfers

How many times has an appointment needed to be transferred, canceled, rescheduled, or switched between reps? Clinicpass handles ALL of the scheduling conflicts for clinics and reps. These features are a click away to help reduce last-minute cancellations, no-shows & increase productivity.

Credentialing

Clinicpass Verify adds an extra layer of protection and is a safeguard for compliance and transparency. By utilizing this feature, reps must "check off" and upload the necessary documents required by Health Quality Measures. This includes vendor records for OIG checklist, HIPAA training, Product Training, and vaccination checks (COVID, MMR, Chicken Pox, Flu & TB) This is something hospitals have been doing for over a decade and has now trickled down to clinics as well. It's compliance at its finest!

Badging

This includes providing identification of representatives once they have been through the credentialing process. We utilize this process to maintain security, compliance, and transparency between you and the representatives.

Sample Tracking

This portion of Clinicpass is unique because it allows for real-time inventory of clinic samples. Would it be nice to have full access to know when a sample is added & when one is removed? Additionally, tracking is now available on how many samples are on hand & stay up to date with upcoming expiration dates. Reps will be notified when their product/samples are low allowing more efficient scheduling.

Patient discount cards

We care about you & your patients! Clinicpass partners with a non-profit organization, NeedyMeds . . . to add a WOW factor to our service. We now offer the NeedyMeds Patient Discount Cards to help provide discounted or, in some cases, free medication for patients without insurance or patients in the donut hole*! *Most Medicare drug plans have a coverage gap (also called the "donut hole"). This means there's a temporary limit on what the drug plan will cover for drugs. Not everyone will enter the coverage gap. The coverage gap begins after you and your drug plan have spent a certain amount on covered drugs.

Clinicpass is a web-based company that provides scheduling and expense reporting services to medical clinics. We aim to bridge the efficiency and protocol gaps between providers and pharmaceutical/device companies, with a focus on increasing medical staff and representative efficiency, transparency, and compliance monitoring. The services offered by Clinicpass include customizable calendars, interactive scheduling, appointment transfers, credentialing, badging, sample tracking, and patient discount cards.

Who is Tracy Simpson, CEO of Clinicpass?

Tracy Simpson is the CEO and founder of Clinicpass. She spent the majority of her career in the medical industry as a device and pharmaceutical senior account manager. Tracy started Clinicpass to promote the value of representatives in patient care [through education, patient assistant programs and samples] and to provide an efficient, compliant management service to medical clinics. Her passion behind Clinicpass is the driving force of the company.

Tracy is an Arkansas native and a graduate of the University of Arkansas, Fayetteville. She has a love for her family, friends and the outdoors. Tracy is inspired by seeing the good in others and has a drive to help others through volunteerism and innovation.

She believes in the value of representatives

With Tracy's background as a medical device and pharmaceutical sales representative, she sees and appreciates the value of reps being in the clinic. Providers are focused on caring for their patients, work long hours, and are juggling many regulation tasks/requirements. Therefore, having representatives in the clinic is an advantage by gaining first-hand, reliable knowledge regarding PI updates, adverse events, new indications and having access to samples when available. Reps can and do play an important role in product education & can be a valuable source in patient care.

She wants to keep representatives in the clinic

Keeping representatives in the clinic is a benefit to both the medical staff and the patients. Regulations and demands continue to change for providers, clinic administrators and staff. Clinicpass aligns with clinics to be an avenue to help increase medical staff and rep efficiency, transparency, and compliance monitoring to provide the safest environment for patients. The value of representatives is great by helping increase product awareness, answering product questions, and providing samples, while also being a direct line for patient assistance programs and introducing new products.

She believes in the ease of working with representatives

Knowing how difficult it is to efficiently schedule representative appointments without clinic disruption, Tracy created Clinicpass to make this process as easy as possible. With her passion stemming from the value of a rep and keeping reps in the clinic, she wanted to create a platform to help ease the time-management and compliance burden from the clinic. This drove her to create a process that benefits both the clinic and representative(s). It is important to Tracy that Clinicpass provides a platform to make it convenient, increase time efficiency and ensures regulations & clinic/facility policies are followed.

This has everyone working toward the same goal . . . an optimal patient focused environment.

Tracy Cornwell Simpson has 30+ years in the pharmaceutical & device industry, Tracy understands and believes in the value representatives/vendors bring to medical facilities. Reps bring first-in-class knowledge of pharmaceutical/product indications, adverse events, patient assistance programs & samples. As times change so do regulations and, many times, increase the workload requirements for the medical staff.

Tracy created Clinicpass to provide a simple solution, in an ever-changing business environment to bridge the efficiency & protocol gaps between providers and pharmaceutical/device companies . . . keeping the focus on what is important. Patients!

Clinicpass is committed to our innovative thinking to keep current with the needs of our customers.

You and your patients are important to us.

This is something hospitals have been doing for over a decade that has now trickled down to clinics as well. It's compliance at its finest!

Data, Data, Data

CMS urges providers and administrators to track their own spend of what is expensed on them through educational events (including food). Clinicpass tracks this information for you through the help of your reps! It is super easy for the reps to do & it is of HUGE benefit to the clinic for accounting purposes. After each event involving food, the rep must report the details of the event within 30 days for clinic accounting (how much was spent, providers present & numeric value of non-physicians in attendance). The information provided is for your clinic's accounting records only and can be compared to what is reported to CMS Open Payments (Sunshine Act). It is better to have the information and not need it than to need the information and not have it!

Clinicpass was designed to keep medical representatives in the clinic by engaging with medical practices to create a simple, modernized process to manage rep traffic and compliance.

Clinicpass is dedicated to stay up-to-date with changes and continually provide new functionality to help bridge the gap with representative appointments, sample inventory, accounting and compliance to ensure providers are getting first-hand product information, samples and patient assistant program availabilities directly from the manufacturers. Patient focused is top priority!

How does a rep management system provide your clinic with the equivalent of an FTE?

Statistics show the average clinic spends 20 hours a month managing rep traffic. That is, on average, 5 hours per week. This means, for a full-time employee, 1/8th of their work week is spent on managing representatives. This position is extremely valuable for a clinic. But what if I could tell you that we could provide this same role, but at zero cost to your clinic?

Clinicpass saves you money

This can be true in several aspects. Clinicpass uses a platform to take a lot of the time and pressure off of you, as the clinic, and your employees by optimizing operations and workflows, updating technology systems, and standardizing redundant tools. This service, when utilized, is at zero cost to clinics. This helps your organization/facility cut costs & save money keeping the focus on patient care.

The savings Clinicpass provides is usually best seen through the time efficiency of the employee that is currently handling the responsibility of representative management. Clnicpass aides in keeping your staff focused on clinic duties by assisting in re management. It seems we all could agree, any financial burden that can be taken off of you, is of value.

Clinicpass saves you time

This can also be true in several aspects. A standardized format is utilized with features that allow us, Clinicpass, to take on the responsibility of handling rep scheduling, appointment transfers, and credentialing. This allocates resources more effectively to protect your employees time and pay by keeping their tasks focused on the betterment of your organization rather than keeping up with the changing work schedules and commitments of medical representatives. Measurement of this benefit can also vary in regards to who is currently responsible for rep management. If it is the clinic manager, those five hours, as mentioned earlier, can be shifted to focusing on running your practice. While if it is a front desk employee or even a provider's assistant, Clinicpass will provide them with those five hours to devote to patient care.

Clinicpass is an opportunity for your organization to function most effectively in regards to productivity by limiting interruptions and making sure policies and protocols are in place - all at ZERO cost to you! Clinicpass provides a way for you streamline the process, making time spent with medical representatives devoted to product education and samples, all to help improve patient care and outcomes. Our focus is to help manage these positive interactions between you and your representatives by modernizing the rep/clinic scheduling process.

CMS urges practitioners to keep track of their own data; why and how we help

The Open Payments program is a national disclosure program that promotes a more transparent and accountable health care system. Open Payments houses a publicly accessible database of payments that reporting entities, including drug and medical device companies, make to covered recipients like physicians. (more information can be found at www.cms.gov) CMS, AMA and many thought leaders encourage providers to keep track of their own spending. Who has the time to do that?

The answer is Clinicpass.

WHY

Although, the burden of complying with Open Payments is placed upon manufacturers, not practitioners. Providers do not have to do anything to comply with Open Payments; however, it is strongly recommended to keep individual records of payments and transfers of money as a cross check of what is reported. Understandably, practitioners do not have time to keep track of this on their own, and that is why Clinicpass aligns with the reps to create a provider log of spend per educational event.

HOW

This is super easy to do & it is of HUGE benefit to the clinic for accounting purposes. After each event involving food, the rep must report the details of the event within 30 days for clinic accounting (how much was spent, doctors present & numeric value of non-physicians in attendance). Information provided is for the clinic's accounting records only and can be compared to what is reported to CMS Open Payments (Sunshine Act).

It is like insurance; it's better to have it and not need it than to need it and not have it. Our services are designed to bring efficiency and time saving services to the clinic . . . allowing reps to provide educational in-services, samples and product information to help aid in patient care.

Best ways to set up your rep scheduling to be most effective for your practice

Manually creating a schedule to meet with medical representatives is work that can be both tedious & time consuming, but necessary in order for your providers and staff to be fully engaged and aware of new FDA medications/products and updates (i.e. new indications). Clinicpass provides a completely customizable scheduling platform that makes having reps in the clinic a unique experience that fits the needs of your clinic.

Features to keep in mind when determining your scheduling needs:

Efficiency at its best! Easy, customizable web-based access for reps to book appointments based on your clinic's availability and preferences. This feature also keeps a record of who was in your clinic and when (HIPAA & contact tracing).

Clinicpass does the monitoring of your desired parameters for you. There are several ways you can set the parameters for your clinic:

  1. How often can reps schedule an appointment?
  2. How often can reps from the same company schedule an appointment?
  3. How frequently can the same product be represented at an appointment?
  4. How many months should be displayed to a rep for scheduling?

You select your options and each one can be different. From no limit, to every 4 weeks, 6 weeks, 8 weeks or 12 weeks. You are in control of the frequency and the system makes sure it is followed.

Once you set your parameters then it is time to customize your calendar! How do you want the day to look and what is the flow of the clinic? Is it best to allow lunch-n-learn only or do you need to set up sample drops, as well? Clinicpass is here to design your calendar based on the needs of the clinic. You can select from the following appointment types and set times that suit your clinic schedule.

  1. Appointment only
  2. Educational food events (breakfast, lunch or snack)
  3. Sample drops

Within each of these time slots, you have the ability to customize the time frame that reps are able to visit. This could look like breakfast from 8:00am-9:00am, lunch from 11:30am-1:00pm, and a sample drop from 2:00pm-3:00pm. Your day-to-day availability can vary week by week and we provide the ability for you to reflect that on your schedule.

Another feature that is valuable for scheduling is the confirmation requirement by Clinicpass. Representatives are required, through our platform, to confirm their appointment slot at least 48 hours before the scheduled time. This reduces the risk of same-day cancellations and no-shows.

We realize not one clinic is the same, so scheduling for representatives should be able to reflect the needs of each individual clinic. Overall, there is no one perfect way to set up your schedule, but you are in control of it . . . Clinicpass is here to help!

Beyond rep management, how can Clinicpass help your organization?

Due to governmental regulations (ie Sunshine Act), new measures needed to be put in place to keep medical facility doors open to pharmaceutical / device representatives. There is an increase in workload, time constraints and public scrutiny. There is a focus to know every person coming into your clinic (HIPAA), Health Quality Measures and CMS & AMA urge physicians and administration to have an accounting system in place to keep track of dollars spent. Clinicpass creates an avenue for those doors to remain open, increasing staff and rep efficiency, transparency and compliance for clinics.

Clinicpass is a service most commonly known for representative scheduling management, but we are so much more. We developed a platform to services both the clinic and representative, encompassing a multitude of functions and benefits.

These include:

Communication

Clinicpass provides an easy way for you to access medical representatives and them to access you bridging the communication gap. This communication functions like an intranet, initiating contact with the intended contact, the first try. Sometimes the communication between reps and clinics gets difficult due to not knowing how or who to get a hold of to answer questions. This service allows users on both sides to skip the guesswork and send a message directly to the person they need. Additionally, the ease of communicating basics for an appointment is made easier by allowing the clinic to identify preferences, allergies, and number of staff members on their profile, and easy access to needed information. Between appointments, representatives are also able to utilize this channel to communicate about upcoming events and get quick feedback from the clinic without clogging their email or phone lines.

Mandating protocols/policy sign-offs

Clinicpass recognizes the need for policies that are unique to each individual organization and provides the ability to mandate these policies are reviewed, signed and followed by each rep calling on the clinic. Within each individual clinic's profile, there is a space already outlined that allows them to determine their preference on perimeters regarding the frequency that an individual rep, a rep from the same company, or a product is able to schedule a visit. Along with the outlined guidelines provided by Clinicpass, there is also an option for clinics to provide their requirements and/or policies they expect representatives to follow; for example, how to properly check-in at the clinic, when and where to interact with clinic members, or sample appointment details. The benefit of Clinicpass is we are taking the work off of you to make sure the highest standards are in place. We want to make it easy for the reps to have access and full understanding of expectations before entering your clinic!

Credentialing

Clinicpass Verify adds an extra layer of protection and is a safeguard for compliance and transparency. This feature provides a way for you to vet each rep before entering your clinic. Ensuring your representatives are providing adequate and up-to-date information regarding vaccinations and/or immunity, OIG exclusion checkpoint, HIPAA and policy documentation. A valuable service to implement for the privacy and safety of your patients.

Do you currently have a HIPAA document on each of your reps? With Clinicpass you will!

Bringing it all together

Clinicpass has a multitude of resources that make it valuable! Clinicpass adequately manages and monitors representative scheduling by following the scheduling parameters set by you. We offer a wide range of services, including customizable calendars, interactive scheduling, internal email system (keeping your work email and phone number private), appointment transfers, credentialing, badging, sample tracking & patient discount cards.

We are making managing medical representative appointments and protocols easy & efficient.

Beyond Rep Management: Policies

Setting policies and procedures are key to maintain understanding and structure of an organization. Policies and procedures are guidelines you set with your employees on Day 1 of the onboarding process. If you set these expectations upfront for your employees, shouldn't you have the same practice when it comes to Business Associates/Sales Representatives entering your facility?

Beyond just your routine rep management system, Clinicpass also offers additional features, such as setting parameters and uploading current policies and procedures. To help ensure you, as a healthcare facility, can identify daily approaches that are important to maintain order, consistency and reduce clinic disruptions. Communicating expectations helps the Business Associates/Sales Representatives to know and understand the guidelines and rules while in your medical practice.

Through our platform, setting parameters is completely customizable, but we want to provide you with some examples around this that have been implemented and our customers have found beneficial:

  1. Clinic access/directions
    1. Where to park when they get to the facility, so they are not taking space for patients.
    2. This can be around what entrance to use, if they do not want to enter through waiting room
    3. How to get to the break room so they are not disturbing patient care.
  2. Type of appointment
    1. Schedule provides the opportunity to schedule what appointments are available that day, from sample drops, the lunch, to snack.
    2. Virtual vs. In-Person
    3. How many attendees they are allowing reps to bring.
  3. Time Frames
    1. This can be around designated lunch times expectations.
    2. Lunch time vs presentation times may vary due to provider availability during the lunch hour.
  4. Rotation
    1. How often individual reps can schedule with the clinic.
    2. How often reps from the same company/product can come to the clinic.

Identifying and following policies and procedures, from both the side of the clinic and the representative actively helps provide a smooth working environment. Providing mutual respect and appreciation of each other's time and job. Afterall, the heart of Clinicpass is to streamline all educational events for compliance, accounting, and sample organization leading to improvement of patient care. Clinicpass delivers in ways beyond rep management.

Beyond Rep Management: Reporting

As we discussed in our previous blog post regarding the why and how Clinicpass is a FREE accounting service for medical facilities regarding Center of Medicare and Medicaid Services (CMS) Open Payments, we want to dive further into how that works.

Remember, Open Payments is a national disclosure program that promotes a more transparent and accountable health care system. Open Payments houses a publicly accessible database of payments that reporting entities, including drug and medical device companies, make to covered recipients.

CMS, AMA and many other thought leaders encourage providers and/or administrators to track their own spend for each educational food event they attend, and that is why Clinicpass goes beyond just your routine rep management system! Clinicpass offers an additional feature to address this need without putting the workload on the clinic administration, staff or provider.

Clinicpass created a reporting system (known as Post Summary) for educational events involving food. The Post Summary requires the rep to report the details to the clinic:

  • Which provider was in attendance
  • Number of all other headcount
  • Total cost to capture cost per head

This makes good business practice to have the data at your fingertips.

List of reporting columns

  1. Reports you can pull by date
    1. Specific day, week, year
  2. Reports you can pull by representative
    1. Physical rep or company
  3. Topic discussed
    1. Product or service
  4. Number of attendees
    1. Staff + providers
    2. Cost per attendee
  5. Providers
    1. Which were present
    2. Very important for individual providers when pulling reports for spend
  6. Total cost
    1. Per event
    2. Per provider

The Clinicpass reporting system keeps track of this throughout the full calendar year, along with archiving any previous years that you were utilizing our web-based service. You can slice and dice this information any way that you see necessary, adding to the idea that it is like insurance; it's better to have it and not need it than to need it and not have it!
